2. Handle the webhook in your backend

Your backend receives the workflow event, looks up the contact, and decides whether to trigger an interview. Keep the mapping explicit. If you hide your trigger logic across five automation layers, nobody will trust the data later.

4. Filter before triggering

Do not trigger every workflow event. Filter aggressively by acquisition source, segment, plan, owner, region, or risk status. The fastest way to poison a research program is to invite everyone and pretend volume equals insight.

In interviews, I regularly hear the real mechanism: procurement disliked annual terms, security review came too late, the champion changed roles, the buyer didn’t trust onboarding, or pricing was fine but packaging was confusing. Those are different problems with different fixes.

Lifecycle transitions are just as revealing. When a contact becomes a customer, that’s when expectation collides with early product reality. If they expected immediate setup and hit a dependency on admin permissions, you need onboarding changes, not a better close process. If they bought because of one promised workflow and can’t find it on day three, that’s messaging debt surfacing as activation risk.

I saw this with a 9-person vertical SaaS team serving clinics. We triggered interviews when deals moved to customer and when accounts were later tagged as churn risk in the CRM. The complication was tiny sample sizes — some weeks we only got 6–8 relevant events. But the interviews were so specific that we uncovered a recurring issue with staff handoff after purchase.
